Introduction

Acaia is committed to the creation of and maintenance of specialty coffee communities through our sponsorship program. The global coffee community and industry move forward through collaboration and mutual respect.

We ask those we partner with to create safe and welcoming environments for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or economic status.

The events, people, and organizations we sponsor are expected to adhere to our sponsorship policy. By accepting our sponsorship, you have agreed to the policy.

Sponsorship Policy for Events

Acaia strongly recommends creating an inclusive Code of Conduct for your event. A Code of Conduct is a written and published policy that clearly outlines expected and unwelcome behaviors at your event. You are welcome to use this template for your event or adopt our own Code of Conduct.

We expect events that we sponsor to:

  1. Provide a welcoming, inclusive, and harassment-free environment for all attendees, sponsors, and organizers.
  2. Commit to a diversity of judges, emcees, panel participants, and speakers.
  3. Establish a Code of Conduct or agree to Acaia’s Code of Conduct.

We will not sponsor events that include:

  1. Sexualized images on event posters and promotional materials.
  2. All-men judges for competitions, all-men panel discussions, or all-men speakers.
  3. Harassing behavior by event organizers or participants with no repercussions.

If you are found to be in violation of our sponsorship policy and/or Code of Conduct, we reserve the right to withdraw our current sponsorship and refuse future sponsorship.

How to implement your own Code of Conduct

  1. Create your event’s Code of Conduct through this template or use Acaia’s as a template.
  2. Publish this Code of Conduct on your event’s website, save it as a PDF, or write a Facebook Note. Make sure you can link to the Code of Conduct.
  3. On the event pages (for example, a Facebook event page or an Eventbrite page), link to the Code of Conduct. Advise event attendees that it is present.
  4. Let the event sponsors, organizers, speakers, and volunteers know about the Code of Conduct.
  5. Designate 1-2 event organizers or volunteers who will handle the harassment reports. Be sure they recognize what harassment is and will be able to empathize with the people who are reporting the harassment.

Sponsorship Policy for Individuals or Organizations

Acaia sponsors competitors through our Competitor Product Sponsorship Program and non-profit organizations who are in need of product or other support. We expect the people and brands who represent us to be respectful of others, avoid harassing behavior, and conduct themselves in a professional manner.

If you are found to be in violation of our sponsorship policy and/or Code of Conduct, we reserve the right to withdraw our current sponsorship and refuse future sponsorship.

Code of Conduct for Acaia Events

All attendees, speakers, sponsors and volunteers at our events are required to agree to the following Code of Conduct. Organizers will enforce this code throughout the event. We expect cooperation from all participants to help ensure a safe environment for everybody.

The Quick Version

Our events are dedicated to providing a harassment-free event experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), economic status, or technology choices. We do not tolerate harassment of event participants in any form. Sexual language and imagery are not appropriate for any conference venue, including talks, workshops, parties, Twitter and other online media. Event participants violating these rules may be sanctioned or expelled from the event without a refund at the discretion of the event organizers.

The Less Quick Version

Harassment includes offensive verbal comments related to gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, technology choices, sexual images in public spaces, economic status, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Participants asked to stop any harassing behavior are expected to comply immediately.

Sponsors are also subject to the anti-harassment policy. In particular, sponsors should not use sexualized images, activities, or other material. Event staff (including volunteers) should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment.

If a participant engages in harassing behavior, the conference organizers may take any action they deem appropriate, including warning the offender or expulsion from the conference with no refund.

If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a member of event staff immediately.

Event staff will be happy to help participants contact hotel/venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the conference. We value your attendance.

We expect participants to follow these rules at conference and workshop venues and conference-related social events.
